Responsibilities

Sales Administration

1. Compile, submit, disseminate & file all Sales reports on time. (FY & CY)

  • Daily, Weekly & Monthly Updates
  • Year End Compilation, APCD Reports
  • Retailer’s Review & Annual Presentation
  • Annual Budget & VFB Process

 

2. Co-ordinate, compile and monitor paperwork for field staff.

  • TBCN, NID & NC requests.
  • Rosters/ Sales Targets
  • Field Visitation Schedule & Reports
  • Collect & distribute pay checks/ purchases/incentive & new products
  • Petty Cash Claims
  • Compile & maintain productivity reports
  • Compile & maintain leave and medical records for field team
  • Assists in coordinating  free cosmetics and incentives

 

3. Order Processin

  • Check, record & monitor orders from all retailers
  • Ensure timely distribution of sell-in proposals to department store buyers
  • Monitor stock movement and inform sales and field team of statue
  • Liaise with Regional Hub on deliveries

4. Suppliers / Companies

  • Deal with external suppliers on costing & deliveries
  • Raise Shopping Cart
  • Budget reconciliation

5. Miscellaneous

  • Assist in coordinating field force interview sessions
  • Compile and maintain customer list
  • Order, monitor usage of collateral products at counter & office stationery
  • Facilitate and  co-ordinate meetings (Internal & External)
  • Share brand administrative responsibility with Marketing Assistant

 

Training Administration

1. Training & Workshops (Internal & External)

  • Assist in preparation & compilation of training notes & manuals
  • Co-ordinate charge out and delivery for products required for training
  • Assist in room set-up & co-ordinate F&B
  • Assist and work at outreach programs designed to recruit new users
  • Assist in any ad-hoc training related duties

 

2. Administration

  • Compile & maintain field team training records
  • Keep track of expenses for training sessions
  • Assists in coordinating  free cosmetics and incentives
  • Co-ordinate with SRA on Mystery Shopper Results
  • Budget Reconciliation and issuance of LPO for training expenses

 

3.   Miscellaneous

  • Ensure that room and equipments are booked for training sessions
  • Co-ordinate date & timing of training sessions with field team
  • Keeping & tracking of uniforms, employee badges, makeup tools and etc

 

Requirements

  • Minimum ‘A’ Level with 1 year of working experience
  • Good coordination and communication skills and fluent in both written and oral English
  • IT savvy and good working knowledge on computer software (eg. Microsoft Excel, Power
  • Point & Word)
  • Highly adaptable person and a team player
  • Service oriented and enjoys working with people
  • Well-organized and follows up proactively
  • Analytical and enjoys working with numbers
  • Experience with SAP is preferred
