Responsibilities

  • Coordinate and assisting in travel arrangements (air ticket and hotel booking for oversea VIPs and local staffs)
  • Issuance of office staffs/visitor access passes, pedestal key, cupboard key etc and update and maintain the record (follows the security procedures)
  • Collection of mails from letter box, sorting and distribution to intended recipients department; franking of outgoing mails
  • Organize and manage local/international couriers service when required (e.g. 1 hours express / DHL)
  • Manage inventory for office stationeries, pantry supplies and medical first-aid
  • Liaise with different vendors on facilities issues in the office, pantry equipment and office plants, etc
  • Overall office management such as maintain furnishing, equipment, supplies, infra-structure (e.g. maintain paper tray, checking toner levels in printers, shredder, binding machine etc)
  • Establish and maintain appropriate telecommunication and information flow systems (e.g. visitor appointment, meeting room booking system)
  • Manage overall office environment hygienic and cleanliness up-keep (including all meeting/conference/function rooms as well as common spaces in the office
  • Welcoming of clients and visitors in a professional manner and directing them to the respective meeting rooms
  • Attend to walk-in customers and handling their needs and enquiries
  • Handling phone calls promptly in the company’s manner and ensuring that the telephones are covered at all times & directing calls accordingly to specific person/department
  • Housekeeping and maintain tidiness of reception area as well as all meeting/conference/function rooms and clients social zones

 

Requirements

  • Minimum GCE “O” level and above
  • Preferred with at least 1 year of relevant experience in customer service / administrative
  • Must have positive and professional attitude
  • Excellent phone etiquette
  • A good team player – reliable, flexible and helpful
  • Cheerful, pleasant, and approachable personality
  • Ability to multitask, work on own initiative and be able to solve problems quickly and effectively
  • Proficient with MS Office and good organizational skills
  • Good communication skills and ability to deal with people at all levels (keen interest in customer service)
