Responsibilities

  • Responsible for incoming/outgoing correspondence (deliveries and parcels) to and from COO’s office and ensure they reach the correct internal/external parties on time for their action
  • Manage, filter and print out emails to the COO for her review and further
  • Composition of various types of documents and report as and when required by the COO
  • Handle confidential materials and information (personal and work related)
  • Schedule meetings, appointments and manage calendars of the COO
  • Manage travel arrangements (work and personal) e.g. flight bookings, transfer arrangement etc.
  • Monitor personal budget, invoices, billings and other personal expenditures
  • Manage claim submissions
  • Administrate payments of CC and phone bills, payment of allowance to home employees
  • Prepare monthly wages, manage renewal of WP and medical check-up for 3 local domestic helpers
  • Monitor COO’s bank accounts and cheque book usage, request for new cheque books when required, assist to perform iBanking functions for COO’s expense payments
  • Monitor balance amount of COO’s safe deposit boxes and ensure it is maintained above minimum required amount
  • Ensure quarterly payment is received from Banker
  • Arrange for schedule and supervise visits by sub-contractors/suppliers to home/property of COO
  • Manage property maintenance and repair as and when required
  • Monitor monthly rental payment of local residential home #1 and attend to Tenant’s complaint when required
  • Monitor cheque payment to contractors and issue mortgage cheques for COO’s local residential home #2
  • Ensure monthly payment of utilities, hotel expenses and domestic helper’s salary are in place for COO’s Bangkok residential home
  • Monitor monthly accounts for COO’s Bali residential home

Requirements

  • Minimum 2 Years of experience reporting to Director/ Senior management
  • Has done administrative and simple book keeping duties
  • Committed and possess good communication and interpersonal skills
  • Able to work independently with minimum supervision
  • Meticulous, organized and observe punctuality
