Responsibilities

  • To ensure that one is constantly updated with the status of each Travel Retail build project through weekly meetings and updates with the Project Teams in the APAC Region.
  • To understand and become familiar with the payment processes between the Company and vendors as well as the Company and Retailers, which might have unique variations between different regions
  • To submit/complete project payments starting from the shopfitter appointment stage to final ‘Goods Receipt’ stage at Project Completion for CAPEX projects
  • To drive all vendor payments for maintenance works and other OPEX projects
  • To raise accurate shopping carts for vendors timely and in accordance with audit requirements – prior to the start of project
  • To flag out to Project Management team and Finance if a project’s WBS (Work Breakdown Structure) element is not issued on time
  • To GR projects according to project status
  • To reply to vendor on payment queries
  • To raise accurate shopping carts for maintenance works on a monthly basis on instruction by the Project Management Executives for the region
  • To understand and maintain records of retailer cost sharing agreements per region/ project
  • To collate shopfitter and VM cost for preparation of Cost Share Letter
  • To ensure Cost Share Letters are sent out for all projects that are either 50% or 100% paid by the Retailer
  • To own and maintain accurate record of all WBS, shopping carts and Purchase Order numbers via the Project Masterlist as and when they are approved
  • To own accurate records of all maintenance POs via separate tracking sheet
  • To work with Finance during year end closing to ensure proper closure of all Project accounts

Requirements

  • Strong organization, follow up and prioritization skills.
  • Experience working in fast-paced organization, able to communicate & multi-task with different team members
  • Attentive to detail, accurate and well-organized
  • Cooperative and willing to assist others and work in a team environment
  • Ability to communicate both verbally and in writing in a professional manner.
  • Able to communicate and work in a culturally diverse team
  • Good knowledge of related computer applications – (Excel, Word is essential)
  • Shop-fitter / construction experience / operations will be desirable.
